HearthenVale Privacy Policy

1. Who we are

HearthenVale is made and operated by Let's Tech LLC, based in Oregon, United States ("we", "us"). This policy covers the HearthenVale app for iPhone and iPad, the HearthenVale game service, our launch email list, and this website, hearthenvale.com. Let's Tech LLC is responsible for the personal information collected through them.

HearthenVale is not currently offered in the European Union, the European Economic Area, Switzerland or the United Kingdom.

2. Information we collect

Information you or Apple give us

What	Details
Account	When you use Sign in with Apple, Apple gives us a unique account identifier and, if you choose to share them, your name and email address. If you choose "Hide My Email", we receive an Apple relay address instead of your real one. We never receive your Apple ID password.
Game Center	If you use Game Center, we receive your Game Center player identifier and display name so we can show friends and award achievements.
Character and profile	Your character's name, appearance, capital, professions, levels, Politheum, reputation and achievements.
Messages	Chat messages you send (local, city, Politheum and one-to-one), reports you file about other players, and any emails you send us.
Purchases	Apple processes every payment. Apple tells us which subscription or items you bought, when, and whether a subscription is active, trialing or cancelled. We never receive your card or bank details.

Information created as you play

What	Details
Gameplay records	Your inventory, buildings, plots, production queues, quests, market orders, contracts and trades. Every change to your Coins and items is recorded in a ledger so trades can be audited and mistakes or exploits reversed.
In-game location	Your position in the game world, so nearby players can see you. This is a place in HearthenVale, never your real-world location. We do not collect your device's location.
Device and connection	Your device model, iOS version, app version, IP address, and connection and error logs, used to keep the service running and secure.
Notifications	If you allow notifications, a push token from Apple so we can tell you when production finishes, an order fills or your city is under attack.
Crash reports and app analytics	Only if you have turned on "Share With App Developers" in your device's settings, Apple shares crash reports and aggregate usage statistics with us. We do not use any third-party analytics or advertising tools in the app.

3. How we use it

To run the game: create your account, save your progress, process trades and purchases, and keep the shared world in sync.
To keep the game fair and safe: filter chat for profanity and personal information, review reports, moderate names, and detect cheating, real-money trading and lopsided trades between linked accounts.
To support you: answer your emails, restore lost goods and fix problems with your account.
To communicate with you: send in-game messages and the push notifications you've allowed, and email you about your account or important changes to the service.
To improve the game: find and fix bugs and balance the economy, using aggregated data wherever we can.
To meet legal obligations: comply with the law, enforce our rules and protect our players and the service.

We don't use your information for advertising, we don't sell it, and we don't use it to make automated decisions that have legal or similarly significant effects on you.

4. What other players can see

HearthenVale is a shared world, so some things are visible to other players by design:

Your character's name, appearance, outfit, professions, levels, Proficiency, reputation, Politheum and achievements.
Where your character is in the game world while you're online, and your home, stall and buildings at all times.
Your name as the maker on items you craft, your market listings and contracts, and your place on leaderboards.
Messages you send, to the players in that chat.

Your real name and email address are never shown to other players. Please don't put personal information in your character name or messages.

5. Who we share it with

We share personal information only with the companies that help us run HearthenVale, and only for that purpose:

Google Cloud	Hosts our game servers and databases.
Apple	Sign in with Apple, payments and subscriptions, Game Center, push notifications, and crash reports you've allowed. Apple's own handling is described in Apple's privacy policy.
Cloudflare	Delivers and protects this website, runs its sign-up form, and routes emails sent to info@hearthenvale.com.
Microsoft 365	Stores the emails you send to info@hearthenvale.com and our replies.
Resend	Stores the addresses on our launch email list and sends our announcement emails.

These providers may only use your information to provide their services to us. We may also disclose information if the law requires it, to protect the safety of our players or the public, or to enforce our rules. If Let's Tech LLC or HearthenVale is ever sold or merged, your information may transfer to the new owner, who will be bound by this policy.

We do not sell personal information, and we do not "share" it for cross-context behavioral advertising, as those terms are defined under California and other US state privacy laws.

6. How long we keep it

Your account and game progress: for as long as your account exists.
Chat messages: 90 days, then deleted. Messages that are reported are kept with the report.
Reports and moderation records: up to 2 years, so repeat abuse can be recognised.
Server logs: up to 30 days.
Support emails: up to 2 years after we last hear from you.
Launch email list: until you unsubscribe or ask us to remove you.

When you delete your account, we delete your personal information from our live systems within 30 days. Copies in our backups are overwritten within a further 14 days. We may keep a minimal record of a deletion, of purchases where tax law requires it, or of a ban to stop it being evaded. Items you made and trades you took part in stay in the world so other players' history still adds up, but they're no longer linked to you.

7. Your choices and rights

Delete your account at any time in the game, under Settings → Delete account. Deleting your account doesn't cancel an Apple subscription; cancel that in your device's Settings.
Notifications can be turned off in your device's Settings → Notifications.
Crash and analytics sharing can be turned off in Settings → Privacy & Security → Analytics & Improvements.
Hide your email by choosing "Hide My Email" when you sign in with Apple.
Unsubscribe from our emails with the link at the bottom of any of them.

Depending on where you live, you may also have the right to access the personal information we hold about you, get a copy of it in a portable format, correct it, delete it, and withdraw any consent you've given. California residents and residents of other US states with privacy laws have the right to know what we collect, to delete and correct it, to opt out of its sale or sharing (we don't sell or share it), and not to be discriminated against for using these rights.

To use any of these rights, email info@hearthenvale.com. We may need to confirm the request comes from the account holder. We'll respond within the time the law requires, usually within 30 days (45 days for US state requests). You can also authorize someone to make a request for you. If we decline a request, you can ask us to reconsider, and we'll explain how to contact your state attorney general if you're still unhappy with the result.

8. Children

HearthenVale is for players aged 13 and over, or the minimum age required in your country to use online services without a parent's consent if that is higher. We don't knowingly collect personal information from children under 13. If you believe a child under 13 has created an account, email us and we'll delete it.

9. Where your data is stored

We're based in the United States. Our game servers are hosted by Google Cloud in the United States, and the other providers listed above also process information in the United States. If you play from outside the US, your information will be transferred to, stored and processed in the US, where privacy laws may differ from those where you live.

10. Security

All traffic between the app and our servers is encrypted with TLS. Every action is checked on our servers rather than trusted from the device, access to player data is limited to the people who need it to run the game, and our databases are backed up. No system is perfectly secure, but we work hard to protect your information and will notify you and the authorities of a breach where the law requires.

11. This website and our launch list

hearthenvale.com doesn't use cookies, analytics or advertising. It's delivered by Cloudflare, which processes visitors' IP addresses and basic request information to serve pages and protect the site from attacks. Fonts and images are hosted on the site itself, so no other third party sees your visit.

Launch email list. If you enter your email address in a "Notify me" form, we add it to our list in Resend and use it to tell you when HearthenVale launches and to send occasional news about the game. We don't use it for anything else and never share it with other companies for their marketing. Every email has an unsubscribe link, or you can email us to be removed.

If you email us, we use your message and address only to reply and help you.

12. Changes to this policy

We'll update this policy as HearthenVale changes. The "Last updated" date at the top shows the latest version. If we make a significant change, we'll tell you in the game or by email before it takes effect.
